Job Title: Administrative Assistant
Department: Police Department/Public Safety

Reports To: Senior Executive Administrative Assistant (Police Clerk)
Position Summary
The Police Department is seeking a professional, organized, and dependable Administrative Assistant to provide administrative and front-desk support in a law enforcement environment. This position serves as a primary point of contact for the public and plays a vital role in supporting officers, command staff, and departmental operations while maintaining confidentiality, professionalism, and compliance with department policies and procedures. Regular schedule will be set at hiring. Limited flexibility may be required for special events and staffing needs.
Essential Duties and Responsibilities
The duties listed below are representative of the work performed; however, this position is not limited to these tasks. Additional responsibilities may be assigned based on the operational needs of the Police Department.
Front Desk & Public Interaction
- Greet and assist members of the public entering the police station in a professional, courteous, and customer-service-oriented manner.
- Answer incoming phone calls, transfer calls to appropriate personnel, and serve as a communication link between callers and officers as needed.
- Assist members of the public in person with parking, speed, red-light, and stop sign camera tickets and MVA Flagging and other police services.
Administrative & Clerical Support
- Perform general office duties including filing, copying, scanning, record organization, and data entry.
- Maintain office supplies and ensure supplies are organized in designated locations.
- Monitor and maintain ink and supply levels for all department copier machines.
- Maintain cleanliness and organization of common areas within the department.
- Retrieve incoming mail daily from Town Hall & prepare and deliver outgoing mail as required.
Payments & Financial Responsibilities
- Collect and process cash and check payments in accordance with departmental policies and procedures.
Chain of Command & Department Protocol
- Reports directly to the Senior Executive Administrative Assistant and follows established departmental chain of command.
- Comply with all departmental policies, procedures, and confidentiality requirements.
- May provide occasional administrative support to other Town departments as needed.
Community Engagement Support
- Assist the Community Engagement Officer with event planning, coordination, and related administrative tasks as needed
- May support limited departmental events with advance notice (e.g., National Night Out, Berwyn Heights Day)
Minimum Qualifications
- High school diploma or equivalent.
- Ability to work effectively in a law enforcement environment.
- Strong interpersonal, organizational, and communication skills.
- Ability to handle sensitive and confidential information with discretion and professionalism.
- Proficiency in basic office equipment and administrative functions.
- Reliable attendance and punctuality.
Preferred Qualifications
- Spanish-speaking or bilingual candidates are strongly preferred due to frequent interaction with the public.
- Previous experience in an administrative, customer service, government, or law enforcement setting.
Additional Requirements
- Must successfully pass a comprehensive background check prior to employment.
- This position operates in a secure law enforcement environment and requires professionalism, discretion, and the ability to interact with individuals in sensitive or high-stress situations.
- Utilize Microsoft Office 365 applications, email systems, records management software, and other departmental technology platforms.
- Maintain, organize, and retrieve departmental records in accordance with applicable retention schedules and confidentiality requirements.
- Ability to sit, stand, walk, lift up to 25 pounds, and perform routine office duties.
